QUESTIONS ✦ ANSWERS ✦ EVERYTHING YOU NEED TO KNOW
✦ A few things you might be wondering ✦
Whether you’ve worked with a virtual assistant before, or this is completely new to you, here are straightforward answers to some of the questions you may have:
A virtual assistant is an independent professional who provides flexible support to businesses and individuals without being employed in-house. Most work can be handled remotely, although local in-person support may also be available by arrangement. Think of it as an extra pair of experienced hands when you need them – without the commitment and costs of employing someone permanently.
Quite a lot! With my 20 years’ experience and background, my support covers professional administration, executive and operational support, projects, events and recruitment campaigns, as well as personal and family admin, research, bookings, travel arrangements and everyday life logistics.
Take a look at my Professional Services and Personal Services pages for more examples. The lists aren’t exhaustive, so if you need help with something that isn’t mentioned, please ask.
I work with entrepreneurs, small and medium-sized businesses, senior professionals, and busy teams, as well as individuals and families who need practical help managing everyday life.
You don’t need a large business or a never-ending workload to benefit. Support can be regular, used during particularly busy periods or arranged for one specific task or project.
No. Hourly support can be arranged for one-off or occasional tasks without a monthly commitment, subject to availability.
If you need regular support, a monthly retainer can reserve an agreed number of hours for you each month at a lower hourly rate than ad-hoc support. Larger projects and specialist assignments can be scoped and quoted separately, with the arrangement agreed clearly before work begins.
Absolutely. Some work is better suited to a clearly defined one-off project than ongoing hourly support.
This might include organising an event, coordinating a recruitment campaign, completing a research assignment, creating or restructuring documents, clearing an administrative backlog, or managing a specific operational project.
We’ll agree the intended outcome, scope, timescale and fee in writing before work begins, so you know exactly what is included.
It starts with a discovery conversation about what you need help with, what’s currently taking up your time and what you’d like to hand over.
From there, I’ll confirm the recommended arrangement, responsibilities, timescales and fees in writing. Once everything is agreed and I have the information or access required, you can begin handing things over.
The aim is to make getting support easier, not to create another job for you to manage..
Communication will be arranged around the work involved and your preferences. This may include email, telephone or video calls, as well as any suitable communication or project-management systems you already use.
At the outset, we’ll agree the main way to stay in touch, how frequently you’d like updates and how genuinely urgent matters should be handled.
In most cases, yes. I’m comfortable working with a range of everyday business systems and software, and I’m confident learning new ones.
Where appropriate, I can work within the systems you already have in place, subject to suitable access and security arrangements, rather than expecting you to change the way you work to suit me.
If you use specialist software that requires additional training, licences or setup, we’ll discuss this before work begins.
Not necessarily. For business clients, I can work as an embedded extension of your team, providing consistent behind-the-scenes support in a way that fits how your business operates.
Where appropriate and authorised, I can use a company email address, work within your systems and processes, and communicate directly with clients, customers and suppliers in your agreed tone of voice.
My role, level of authority and any approval boundaries will be agreed in advance. Although I may work closely alongside your team, Virtual Suze remains an independent service provider rather than your employee.
Confidentiality is taken seriously. Any information or access you provide will only be used as necessary to complete the work we have agreed.
Wherever possible, access should be provided through individual user accounts, appropriate permission levels and secure password-sharing methods rather than sending passwords by ordinary email or message. Multi-factor authentication should also be used where available.
Any specific confidentiality, data-protection and access requirements will be agreed as part of our working arrangement. Where Virtual Suze processes personal data on your behalf, an appropriate Data Processing Agreement will also be put in place.
Professional support starts from £32 per hour, while personal and family support starts from £28 per hour. The minimum booking is one hour, with additional time recorded in 15-minute increments.
If you need regular support, a monthly retainer reserves an agreed number of hours for you each month at a lower hourly rate than ad-hoc support. Clearly defined packages and projects may instead be offered at a fixed price based on their scope and outcome.
Recruitment campaigns, events, complex projects and other specialist assignments are individually scoped and quoted. All applicable rates, fees and inclusions will be confirmed in writing before work begins.
Not at all. You can begin with one clearly defined task, project or area that’s taking up too much of your time.
This gives us an opportunity to establish a comfortable way of working. You can then hand over additional responsibilities gradually, if and when it feels useful.
Sometimes the easiest way to delegate is simply to start.
That’s completely fine, you don’t need to arrive with a perfectly organised task list.
We can talk through what’s taking up your time, creating bottlenecks, or repeatedly being pushed to the bottom of the list. I’ll help you identify the practical areas where support could make the biggest difference and suggest a sensible place to start.
Complete the enquiry form on my Contact page or email me at info@virtualsuze.com, and tell me a little about what you need help with.
I’ll come back to you so we can discuss what you’re looking for, whether I’m the right fit and the most suitable way to work together. If you decide to proceed, I’ll confirm the arrangement and fees in writing before work begins.
There’s no obligation simply because you’ve made an enquiry.
